Terms Management
The Terms Management screen allows administrators to define and maintain academic terms within an academic year. Terms are used to organize the scheduling and delivery of courses, such as semesters, quarters, or blocks.

Accessing Terms
To access the Terms Management screen:
- From the left-hand navigation menu, select Course
- Click Terms
The screen displays a list of all terms configured in the system.
Understanding the Screen
- Terms are displayed in a list with key details including:
- Term ID
- Term Name
- Academic Year
- The toolbar includes options such as New Term, Export, Refresh, and column configuration
- The search bar allows you to quickly locate a specific term
- Each term can be edited directly from the list
Relationship to Academic Years
Terms are directly linked to Academic Years, and this relationship is essential to the course structure.
- Each term must belong to an Academic Year
- Academic years can contain multiple terms (e.g., Fall, Spring)
- Terms are used to organize course sessions and scheduling
This ensures that all course delivery is structured within a defined academic timeline.
How Terms Are Used
Terms are used throughout the system to:
- Organize course sessions
- Define academic scheduling periods
- Support student enrollment and tracking
- Enable accurate reporting by academic period
Creating a New Term
To create a new term:
- Click + New Term
- Enter the Term Name (e.g., Fall, Spring)
- Select the associated Academic Year
- Click Save Term
The new term will appear in the list and be available for course scheduling.

Editing an Existing Term
To edit a term:
- Locate the term in the list
- Click Edit
- Update the Term Name or change the Academic Year if required
- Click Save Term
Changes will be applied immediately.

Deleting Terms
⚠️ Terms cannot be deleted.
This restriction ensures data integrity, as terms may be linked to:
- Course sessions
- Student enrollments
- Academic reporting data
If a term is no longer required, it is recommended to leave it as is for historical reference.
Important Notes
- Terms must be created after Academic Years are defined
- Ensure terms are clearly named and aligned with your institution’s academic structure
- Changes to terms may impact scheduling, enrollment, and reporting
